How it works: Epic offers two options for marketers to track campaign performance – its LinkSource tool and recently added UTM Parameter integration within MyChart Builder. Both are limited in capabilities and have gaps in measurement. We built upon Epic’s framework with a custom tool that preserves UTM parameters and more comprehensively inserts them into the patient record upon conversion. As with all of Hedy & Hopp’s work, this data capture process is HIPAA-compliant.

Jumping into Epic as a healthcare marketer can be overwhelming, especially if it’s historically been your IT team’s domain. We’re here to help you navigate the platform, understand which tools are available to you, and focus your efforts on driving meaningful ROI. Here are a few questions we hear a lot.

That’s OK! First, it’s important to note that members of our team have received multiple Epic Certifications and Badges, ensuring we have the appropriate level of training to gain access. Some systems provide consultant access (where we can log in without viewing any PHI or PII) in order to set up campaigns and analytics structures. Other systems prefer that we work externally, providing strategy and implementation steps for their analysts to follow. We can be flexible based on your organization’s security guidelines!

Cheers is Epic’s built-in CRM tool. We will develop a strategy to leverage the CRM to drive your organization’s goals—increased patient volumes, engagement with non-compliant patients, etc. We’ll work to understand your goals, and then develop a plan for targeting, triggers, and messaging for one-time campaigns as well as automations.

Yes! You can capture prospective patient information and nurture those prospective patients through Cheers and Hello World infrastructure. The person does not need to be a current patient.

You can export the data from Caboodle and put it in your data warehouse. The data is SQL—it’s raw—so you can use it however you would like. Some clients use Looker Studio or Domo for data visualization. It can be whatever tool that your organization is already using.

If you are trying to reach a donor or employee audience, Epic is not the right tool. Epic can only be used to reach current or prospective patients.

Yes! A user can have a record in Epic and not have a MyChart account. You can still message people even if they don’t have a MyChart account. Epic tools are available to all users, regardless of whether or not the user has a MyChart account.

Yes! Epic can capture all of the referring data that you would put into UTM parameters. We recommend establishing a global marketing UTM structure that guides all of your campaign tracking.
